Written for a procurement reader. Every item below produces a document you can file, forward or audit.
Every deadline on one document, worked backwards from opening day, issued at kick-off and updated weekly.
The nine organiser deadlines with owner, form and closing date. The document that prevents refused builds.
We read your show’s manual properly and extract what actually applies to your stand and hall.
Stand design, rigging, height, structural and power filed inside the window and chased to written approval.
Fabricator, printer, freight agent and AV held to the same schedule, whether or not they are ours.
One page: what is done, what is at risk, what needs a decision from you. Forwardable internally without editing.
Your project manager at the venue through build-up, with authority to decide rather than escalate.
Breakdown, collection, storage decisions, final costs reconciled and a note of what to change next time.
A stand contractor is easy to judge on one job. These clients judged us and booked the next one — across different countries, venues and build regulations
This is the document that does the work. Marked rows are the ones organisers refuse rather than queue — miss them and the build does not happen, regardless of whether the stand is ready.
Each of these started as a blank floor plan. Photographs are from the show floor, not renders.
Charged as a fee rather than a percentage of build cost, because a percentage rewards the wrong thing. These five factors set it.
| Variable | What it changes | How to reduce it |
|---|---|---|
| Number of suppliers | Coordinating five separate companies takes materially more time than managing a single design-and-build contract. | Consolidate where you can. Fewer interfaces is cheaper and safer. |
| Venue complexity | Some venues run light approval regimes. Others require structural review, appointed labour and multiple submissions. | Nothing, but it should be priced honestly rather than discovered. |
| Build type | Double deckers, suspended structures and anything raised add approvals, engineering and inspection. | Decide early. A late switch to two storey resets the approvals calendar. |
| One show or a season | A multi-show programme costs less per event because the manager is not learning your business each time. | Contract the season rather than event by event. |
| When you engage us | Sixteen weeks out is management. Four weeks out is recovery, and recovery takes more hours and costs more. | Engage before something is already late. |
Rarely too late to be useful, often too late to save everything. The honest answer depends on which deadlines have already closed.
Inside four weeks, structural and rigging submissions have usually passed at most venues. That does not end the project — it changes it. A hanging banner becomes a floor-standing tower, a raised platform becomes a flat build. Those are workable substitutions if someone identifies them now rather than at the venue.
What we will not do is take a management fee for a project that cannot be delivered and manage it politely into failure. If the answer is that your show is not achievable as specified, you will hear that on the first call, along with what a reduced version would look like.
Everything exhibitors ask us before they commit — including the questions where the honest answer is that we are not the right supplier for you.
Our exhibition project management services include project planning, schedule management, organizer coordination, vendor management, logistics planning, installation planning, site supervision, and post-show dismantling management.

Yes. We offer a multi-exhibition management service which enables clients to manage several exhibitions with the help of a single project management team.
Project management is important because it makes sure that the project remains organized, it meets deadlines, there is good coordination between vendors and organizers, and the exhibit is ready prior to the event.
Tell us the show, your stand size and how many sides are open. We come back with a rendered concept and an honest cost band — before you have committed to anything.
