Each of these is a handover in a conventional freight arrangement, and each handover is somewhere a delay begins. Under one contract they are stages rather than handovers.

Stage 01

Crate specification

Case sizes set against the freight mode and the stall’s reuse plan. Decided during fabrication, because crates built after the fact never fit properly.
Stage 02

Manifest written

Crate by crate, item by item, with dimensions and weights. This document becomes the customs declaration, so it is written once and used everywhere.
Stage 03

Mode and sailing booked

Against a dispatch deadline fixed before production started. Space on the right sailing is booked early rather than found late.
Stage 04

Carnet raised

Where the stand is returning. Prepared from the manifest, so the list on the carnet matches what is physically in the crates.
Stage 05

Export clearance

Out of India, with documentation prepared by the people who packed the shipment rather than by a broker working from a summary.
Stage 06

Transit

Tracked, with the arrival date checked against the venue’s delivery window rather than against the show date. Those are not the same day.
Stage 07

Import clearance

At destination, under carnet where applicable. The stage most often delayed by a manifest that does not match the goods.
Stage 08

Delivery to stand position

Into the hall on your build-up date, to your stand number — not to a marshalling yard for you to arrange onward movement.
Stage 09

Return or onward

Collected inside the breakdown window, cleared back out under the carnet, and routed home, into storage, or to the next show.

Mode The single largest factor. Air freight costs several times sea for the same shipment and buys weeks, not quality. Build three extra weeks into the programme. It is the cheapest decision on this page.
Volume, not weight Most stands are bulky rather than heavy, so you pay for the space the crates occupy. Design for flat-packing. Fabric graphics and system frames ship for a fraction of solid joinery.
Consolidated or exclusive A stand that does not fill a container costs far less sharing space with other exhibition cargo on the same route. Ask for a consolidated option before defaulting to air because sea looked slow.
Handling points Every transfer between vehicle, warehouse and marshalling yard adds cost and damage risk. Fewer transfers, even where the routing is not cheapest on paper.
Where the quote ends Port-to-port looks cheap. Door-to-stand includes customs, handling and delivery into the hall. Compare quotations that end at the same place, or you are not comparing anything.

Sea freight vs air freight

Sea is the default and air is the recovery. That is the honest framing, and treating air as a premium service rather than a rescue leads exhibitors to budget for it unnecessarily.

Sea from India: roughly two weeks to the Gulf, three to Europe, plus port handling and a customs allowance at both ends. Air: days in transit, but the documentation still takes the time it takes, so air compresses part of the chain rather than all of it.

The middle option worth knowing about is splitting the shipment — structure by sea on the original schedule, graphics by air later. Graphics are light, they are the element most likely to change late, and this split regularly saves a project that would otherwise need the whole stand flown.
