The build follows our normal process. What is added is a parallel track — onboarding, artwork collection and allocation — that starts earlier and runs alongside everything else.

Concept

3D renders and an all-in cost band from your brief. Free, and no obligation to continue.
Week 3

Approval

Design freeze and contract. After this, changes affect cost and schedule and we tell you by how much.
Weeks 4–7

Manufacture

Production drawings, fabrication, and organiser submissions filed in parallel rather than afterwards.
Weeks 6–8

Pre-build

Graphics applied, whole stand assembled and tested in production. You get photographs before it is packed.

Ship

Crated, freight booked, carnet raised, customs cleared, delivered on your build-up date.

A pavilion is priced on two axes rather than one — floor area and exhibitor count. The second is what most first-time organisers underestimate.

Booth personalisation How much each exhibitor may change. More freedom means more artwork handling and more approvals. Define the limits before onboarding. It is the single biggest coordination lever.
Reuse across years A modular pavilion structure reconfigures for a different hall each year, changing only graphics and layout. If your body exhibits annually, this is the largest saving available to you.
Protocol requirements Flag areas, ministerial visits, press positions and dignitary hospitality affect the layout. Specify these at briefing. Retrofitting protocol space is expensive.

Pavilion stand lead time

Sixteen to twenty weeks, which is longer than a commercial stand of the same size and for a reason that has nothing to do with production.

Construction runs at normal speed. What adds four to six weeks is exhibitor onboarding and artwork collection, and neither depends on us. Thirty companies have to be briefed, respond, supply artwork and approve it, and that timeline is set by the slowest of them rather than the fastest.

The way to protect the schedule is to publish a default. Any exhibitor who misses the artwork deadline gets a standard treatment — name and category, correctly set — rather than holding the pavilion. Stating that rule at onboarding, rather than inventing it under pressure, is what makes it enforceable.
