It takes more than a good stand to exhibit effectively. Exhibits Expo coordinates the handling of these moving components with an organised operation process that is planned with your goals, budget and exhibition schedule in mind.

Exhibition project management encompasses the entire life cycle of an exhibition project, including concept and planning, construction, installation, live-event support and dismantling. Our project management services in terms of exhibition project management can incorporate:

  • Design and production coordination of stands
  • Management of vendors and suppliers
  • Coordination of the venue and organisers

Exhibition Project Management Service in Berlin

Exhibits Expo provides organised exhibition project management services in Berlin rather than a number of unrelated suppliers. We coordinate schedules, deadlines, teams and on-site execution throughout.

Key milestones include:

  • Sign-off production and design
  • Art and branding due dates
  • Shipment and delivery of material
  • Installation and access to venue
  • Final stand inspection

The way we manage our exhibition project ensures that all the stages are synchronised, enabling it to detect any possible problems early enough before they can cause any last-minute problems.

Trade Show Project Management in Berlin

Industry exhibitions and trade shows are run on tight schedules. Exhibitors might be required to make arrangements of freight, artwork, stand building, staff arrival, movement of products and organiser deadlines within a small installation period. These activities are linked with good trade show project management.

Exhibits Expo offers trade show exhibition project management that focuses on the details that may influence the opening-day preparedness. We liaise schedules amongst your group, production partners, venue staff and other entities.

Our management approach may involve the following in our trade show exhibit:

  • Planning of exhibitor logistics and delivery.
  • Manufacturing and set up times.
  • Show-day readiness checks
  • Branding and display co-ordination.
  • The breakdown and post-event motion.

With the help of trade show project coordination , your team will be able to concentrate more on the visitors, meetings and business opportunities without losing control of execution, as it is supervised by a professional.

Paperwork and approvals of the organiser in Berlin

Paperwork in relation to exhibitions may be an important administrative burden, especially when the organisers demand certain forms and at certain deadlines. Exhibits Expo also facilitates such requirements on behalf of the client, and this will eliminate the chances of withholding of information or submission at the last moment.

We can provide support in terms of exhibitor manual support, interpretation of organiser requirements, preparation or coordination of relevant documentation. We also help with organiser submission of exhibition stand specifications, technicalities and venue-related procedures where necessary.

We are also able to organise requirements like:

  • Fraudulently documents and rigs approval trade show procedures.
  • Electrical requirements and exhibition power order.
  • Drawings and technical submissions of a stand.
  • Installation and access documentation.
  • Other forms and approvals by the organiser.

We provide services over the exhibition needs in the locations and halls that serve {Local_Hubs}, among other halls in the greater Berlin area.

Single point of contact in Berlin

The most practical benefit of professional coordination is the ability to know whom to call. You no longer need to contact a stand builder, printer, transporter, staffing supplier, and installation crew separately, but rather you have an exhibition single point of contact that has the responsibility of keeping the project connected.

Exhibits Expo employs a specific exhibition project manager to organise needs, follow-ups and report the progress. This minimises redundant discussions, assists in exposing dependencies sooner and provides your internal team with a single channel of updates.

One point of contact is especially useful in situations where:

  • There are numerous suppliers that have the same deadline of installation.
  • Any changes in the brand must be communicated to various teams promptly.
  • The requirements of the venue or organiser vary.
  • Top management requires brief project reports.
  • Your company is involved in some exhibitions annually.

Multi-show exhibition management also establishes a repeatable operating model in the case of businesses operating upon a recurring cycle of exhibitions. Experiences of one event can be used to inform the next, and processes put in place can lessen the necessity of recreating the coordination structure each time.

Exhibition Project Management Agency in Berlin

Exhibits Expo, as a full-service exhibition project management agency in Berlin, offers vital services related to exhibitions in a single structure.

Our services may consist of

  • Design and construction of exhibition stand
  • Logistics and installation
  • Branding and graphics
  • Event staffing
  • Furniture and other needs.
  • On-site monitoring and deconstruction.

Our exhibition project management service eliminates communication breakdowns by integrating all workstreams through a single team and assists in getting your stand ready on time and as per the approved plan.

Exhibition Budget & Cost Control in Berlin

The stand production, logistics, branding, staffing and venue requirements can be managed independently, which makes it hard to control the budget of the exhibition. Exhibits Expo involves putting these cost areas into the project planning process, allowing the clients to know where their budget is going and what requirements must be prioritised.

We plan project costs based on the agreed scope and event schedule, and we detect potential changes before they impact final execution. This will provide your team with more visibility on the financial aspect of the exhibition without the need to follow several vendors separately.

We have a cost-control strategy that incorporates:

  • Requirements and scope planning in advance of production.
  • Quotation and deliverables coordination by the vendor.
  • Monitoring of approved project changes.
  • Location and cost of logistics and venue.
  • Production that matches the available budget on the exhibition.

Another way that regular budget planning can simplify the comparison of projects is in companies that show on a regular basis and therefore can plan their budgets in 12 months at once and then allocate their resources and also predict what to expect in the future.

Why Choose Exhibits Expo in Berlin

Exhibits Expo has a unified team of planning, coordination and on-ground execution. We enable businesses to avoid disjointed communication and last-minute issues with a committed project manager, local execution support, and integrated vendor management. Since the organiser requirements and the production, installation and dismantling, each of the stages is handled in comparison with the agreed project plan. In companies with more than one event to attend, our systematised style also makes projects more consistent, and it is easier to plan, monitor and control the execution of the exhibitions.

A stand contractor is easy to judge on one job. These clients judged us and booked the next one — across different countries, venues and build regulations

The deadline register Nine dates, counted back

from opening day.

This is the document that does the work. Marked rows are the ones organisers refuse rather than queue — miss them and the build does not happen, regardless of whether the stand is ready.

Week 0

Build-up and breakdown [Immovable]

Fixed hours with penalties for overrun, and a collection window after the show that disposes of anything left behind at your cost.
Week −3

Early access & delivery slot [Limited availability]

Booked with the organiser. Large stands need early access, and it sells out at busy shows rather than being available on request.
Week −4

Contractor accreditation [Refused if late]

Crew passes and the insurance certificate the venue requires before issuing them. A crew without passes cannot enter the hall.
Week −5

Print-ready artwork [Immovable]

Fourteen days before dispatch. Sits with your design team and slips more often than any other date on this register.
Week −6

Freight dispatch [Immovable]

The stand leaves. Fixed by the sailing schedule rather than by anyone’s preference, and the reason production dates are what they are.
Week −6

Power order [Premium if late]

Supply in kW against the stand’s actual load, at the organiser’s tariff. Late orders carry a premium; undersized orders trip the stand during build-up.
Week −8

Rigging approval [Refused if late]

Anything suspended from the roof, with approved points and weights. The most commonly missed deadline on any project.
Week −10

Structural submission [Refused if late]

Stand design, elevations and — for raised or two storey builds — stamped calculations. Windows close six to ten weeks out and are not extended.
Week −16

Exhibitor manual reviewed [Advisory]

Hall rules, height limits, permitted build types, fire ratings and tariffs extracted. Everything below depends on getting this right.

Cost & scope What drives a project

management fee.

Charged as a fee rather than a percentage of build cost, because a percentage rewards the wrong thing. These five factors set it.

Variable What it changes How to reduce it
Number of suppliers Coordinating five separate companies takes materially more time than managing a single design-and-build contract. Consolidate where you can. Fewer interfaces is cheaper and safer.
Venue complexity Some venues run light approval regimes. Others require structural review, appointed labour and multiple submissions. Nothing, but it should be priced honestly rather than discovered.
Build type Double deckers, suspended structures and anything raised add approvals, engineering and inspection. Decide early. A late switch to two storey resets the approvals calendar.
One show or a season A multi-show programme costs less per event because the manager is not learning your business each time. Contract the season rather than event by event.
When you engage us Sixteen weeks out is management. Four weeks out is recovery, and recovery takes more hours and costs more. Engage before something is already late.

When is it too late to engage a project manager?

Rarely too late to be useful, often too late to save everything. The honest answer depends on which deadlines have already closed.

Inside four weeks, structural and rigging submissions have usually passed at most venues. That does not end the project — it changes it. A hanging banner becomes a floor-standing tower, a raised platform becomes a flat build. Those are workable substitutions if someone identifies them now rather than at the venue.

What we will not do is take a management fee for a project that cannot be delivered and manage it politely into failure. If the answer is that your show is not achievable as specified, you will hear that on the first call, along with what a reduced version would look like.
